The ideal candidate will be detail-oriented, thrive in a fast-paced environment, and effectively manage multiple priorities. This role supports customer service operations, cross-department collaboration, marketing initiatives, and office administration while maintaining consistent messaging and supporting upcoming initiatives, including a rebrand.<\/p><p><strong><em><span style=\"text-decoration: underline;\">Schedule Information:<\/span><\/em><\/strong><em> Hours will initially be 10:00 a.m. to 6:00 p.m. to support West Coast clients. Due to seasonality, hours may transition to 9:00 a.m. to 5:00 p.m. at the end of the season<\/em>.<\/p><p><strong>Job Responsibilities<\/strong><\/p><p><strong>Office Administrative Support<\/strong><\/p><ul><li>Serve as the primary administrative point of contact for office vendors and service providers; coordinate routine service requests, troubleshoot issues, and maintain vendor contacts and contracts<\/li><li>Provide day-to-day administrative support for office operations, including facilities coordination, janitorial follow-up, entrance updates, and holiday notices<\/li><li>Manage office supply, breakroom, and general inventory needs; coordinate ordering and vendor support to ensure availability<\/li><li>Maintain offsite storage records and inventory using designated tracking systems or online portals<\/li><li>Maintain standardized administrative documents, calendars, directories, and organizational charts<\/li><li>Support front desk and office communications, including voicemail management, digital displays, email distribution lists, and general office messaging<\/li><li>Coordinate seasonal office activities, including holiday d\u00e9cor setup and removal, service awards, and employee recognition in collaboration with department leadership<\/li><li>Provide general administrative and operational support, including assistance with equipment issues<\/li><\/ul><p><strong>Customer Service Support<\/strong><\/p><ul><li>Serve as the primary backup to the Customer Service Manager, assisting with day-to-day tasks and providing coverage during absences or peak periods<\/li><li>Support order entry and processing in the ERP system, ensuring timely shipment and accurate documentation<\/li><li>Assist with invoicing, including customer submission via email, mail, or customer systems, and processing credit and debit memos as required<\/li><li>Respond to customer inquiries, documentation requests, and order updates; communicate needs, issues, or concerns to the sales team and management to ensure timely resolution and customer satisfaction<\/li><li>Assist in coordinating customer freight deliveries and logistics within the freight management system<\/li><li>Collaborate across departments to resolve order delays, production issues, or shipment concerns to support a seamless customer experience<\/li><\/ul><p><strong>Marketing Support<\/strong><\/p><ul><li>Assist with the creation and execution of marketing plans and initiatives<\/li><li>Support marketing efforts to improve departmental efficiency and business profitability<\/li><li>Coordinate with leadership on the implementation of corporate marketing strategies<\/li><li>Maintain effective public relations through customer education and product promotion<\/li><li>Provide support for social media, public relations outreach, and other marketing activities as assigned<\/li><\/ul><p> <\/p><p><strong>Education &amp;
